Artivest is seeking an Office Manager to mastermind the day-to-day operations of our very busy and growing office. Working with our expanding, dedicated team, you’ll be able to step in and have immediate impact. To successfully manage the many competing priorities of this role, you must be committed to maintaining a collaborative and supportive environment, love solving problems, and thrive in an “all hands on deck” culture. You will have an opportunity to grow professionally within the team, particularly in our marketing, investor relations, technology, and human resources functions.

What You’ve Done
- At least 3-5 years of office or team administrative responsibilities
- Bookkeeping and reception
- Administrative or executive assistant experience
- Successfully managed competing priorities
- Scheduling
- Travel booking
- Event planning
- Familiarity with finance or financial organizations a plus
What You’ll Do
- Allow our team to be constantly in the flow, maintaining an environment where each member can maximally focus on her or his role
- Provide executive assistance: schedule meetings and book business trips
- Manage the organization of official company documents and archives
- Answer phones and distribute mail
- Manage food orders (yes, free food for the team!) and office supply inventory
- Communicate with clients and investors
- Organize and plan team and marketing events: team lunches, happy hours, small hackathons at the office, etc.
- Assist the General Counsel and Director of Finance with the books and records of the company (bill paying etc.)
- Support the production of template agreements and coordinate vendor arrangements
- Maintain and track company and team licenses and registrations (e.g., state business registrations and renewals)
- Be the point person for all building management issues and handle various service providers
- Facilitate office changes, builds, moves, etc., as needed
