Job Description: Staff Accountant

A-List Education is seeking a Staff Accountant, to perform and manage all finance and accounting transaction processes, including general bookkeeping and payroll administration, and also to lead various financial management initiatives in budget control, monitoring revenues and costs and assessing profitability and return on investment across the full range of products and services.

The role would suit an ambitious senior bookkeeper or junior accountant, who is looking for an opportunity to join an established, high-growth and internationally-focused company. Formal qualifications in accounting are required, and recent, in-depth experience in an accounting function strongly preferred. Experience of small company environments is a significant advantage. The role will report to the Director of Finance and Business Development.

Interested candidates should note that the role will involve all accounting responsibilities, from month close and reporting, to ledger management and payroll processing, and through to transaction entry. Role & Responsibilities

·         Financial Management Responsibilities

o   Develop templates and process for cash-flow forecasting

o   Develop departmental budget structure, train managers in using budget controls and forecasting, and monitor revenues and expenses against budget

o   Assist sales and business development personnel in opportunity development, providing costs and budget information and monitoring revenue and margin potential

o   Improve estimating and invoicing procedures, automating interaction with the master product database and increasing focus on margin projections

o   Review costs and charges on payment receipt & processing methods – propose improvements and manage implementation

o   Build Excel reports for regular review by departmental managers and senior staff; work to improve the templates to suit specific requirements

·         Payroll & HR Administration

o   Prepare and process Paychex payroll, aggregating part-time employee hours, calculating totals due, creating tracking spreadsheets and processing payroll

o   Record all I-9, W-4, and W-9 and other required documents for employees and vendors

o   Monitor health insurance, FSA and related benefits for employees. Ensure compliance with regulations with assistance from Paychex HR

o   Handle all payroll and related employment information requests from employees. Maintain all necessary HR documentation and records

o   Manage and maintain all paper and electronic filing infrastructure for the HR and administration function

·         Transaction Processing

o   Download and process all cash and credit card account activity

o   Code all transactions with expense account and class according to policies set by the Director of Finance

o   Regularly review the P&L activity to ensure accuracy of expense and class transaction allocations

·         Accounts Payable & Accounts Receivable

o   Create and manage invoices for multiple business segments; work alongside business managers to ensure validity of estimates and invoices

o   Manage accounts payable, recording bills received by the company and scheduling and issuing payments by check and by deposit

o   Manage accounts receivable, reviewing the AR Aging summaries and detail with the Director of Finance on a regular basis and communicating directly with customer accounts payable contacts

·         General Bookkeeping

o   Manage and control the General Ledger, expanding the Ledger as necessary to accommodate business activity under the oversight of the Director of Finance

o   Manage and maintain all paper and electronic filing infrastructure for the finance and accounting function

o   Manage all tax and partner accounting tasks

o   Perform Bank Reconciliations on a monthly basis for all banking and other cash accounts.

o   Provide advice and input on improvements to the accounting system and processes; constantly seek to offer suggestions on how systems and approaches can be optimized

o   Ensure company complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions

o   Prepare financial reports by collecting, analyzing, and summarizing account information and trends

o   Reconcile activity with international partners and subsidiaries

Ideal Candidate Profile

Requirements for eligible candidates are:

·         Bachelor degree-level qualification, in accounting or business (with significant accounting content)

·         Experience in and comprehensive knowledge of modern accounting software

·         Strong numerical analysis skills, including high level of competence in MS Excel

·         Minimum of 5 years work experience, in a corporate environment, covering any of technology, education, manufacturing. Relevant non-profit experience also considered

·         Ability to work in a fast-paced environment, and integrate effectively into an ambitious and highly-skilled team

Candidates with any or all of the following will be preferred in the hiring process:

·         CPA certification or equivalent

·         MBA or equivalent

·         Recent work experience as an accountant or senior bookkeeper in a small or medium-size corporate environment
